Create automatically new Work items with a Status transition

Polarion is amazing for Requirements Management; tracing everything within the V-model and generating beautiful reports. Project Management, however, has room for improvement. We're addressing one major request here: the ability to describe your process and automatically generate tasks once specific milestones are reached.

Scripting needed?

No. You won’t need to do any scripting. All you need to do is to create a template in a separate project. Here you create all the items in corresponding status with the items you want to have created once that status is reached. The script from InnoFour will do the rest.

The only other configuration needed, is to have the script triggered with parameters on status changes. If you have specific wishes for further customizing to your needs, this can of course be done. Here you can think of reacting to attributes so that an ECR for a Risk relevant change has other tasks generated than if it would be a purely document based ECR.

Practical Use Case

There are multiple Use Cases for this script. If you track and analyse CAPAs with Polarion, there are certain actions/tasks that are triggered depending on the type of CAPA. Or repeating tasks that are created and triggered with an ECR. As an example we asked an AI to generate some states and standard tasks:

With this we made a template in Polarion as you can see above. In a different project we call the script using the workflow of a Change Request. When creating a new Change Request, this happens:

Once the task is finished and the Change Request is ready to move on to the next state, this automatically generates the next tasks:

There are no limitations on the amount or types of Work Items that can be generated this way. And due to using a template, no special knowledge is needed to configure the process. 

Word from our developer

A customer had a tool that created tasks automatically when moving through their process. But this tool could not communicate with other programs used (Polarion, Teamcenter, …). So we came on the idea of having Polarion take over this functionality (this script together with the kanban boards of Polarion). Now they can save on the licenses for a different program and have a better connection between the tasks and requirement management.
